Job Summary:

The main objective of the Upward Bound at OPSU program is to prepare rural high school students who are economically disadvantaged and/or potential first-generation college students for entrance into and persistence in postsecondary education.

The Office Administrator is under the direct supervision of the Director and performs general duties for program staff including preparation of reports, correspondence, maintenance of office supplies and forms inventory, policy manuals and office files, distribution of mail, recording of student data, and answering the telephone.

Responsibilities:

• Serve as a central point of information for the program; greet and assist participants, parents, and staff.
• Prepare travel forms for staff and assist with travel arrangements.
• Assist in inventory of equipment and annual physical inventory and reconcile differences with Inventory Department.
• Maintain an adequate inventory of office supplies.
• Serve as a key operator for the copy machine and fax machine.
• Input information into the Student Access database and assist in tracking program participants and alumni.
• Maintain an organized office filing system.
• Sort and distribute incoming mail. Pick-up and drop-off mail each day.
• Guide and monitor the work of student employees in collaboration with the Director and Facilitator.
• Actively participate in staff and program development.
• Maintain and update the office procedures manual.
• Perform other job-related duties as assigned.

ESSENTIAL FUNCTIONS:

• Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.)
• Ability to communicate effectively and appropriately.
• Ability to maintain the confidentiality of records and information.
• Ability to interact in an effective and appropriate manner with diverse populations, the University community, and the public.
• Ability to detect and correct grammatical and spelling errors in written
correspondence.
• Ability to create and accurately maintain an organized office filing system, in paper and in software programs.
• Ability to handle multiple tasks simultaneously.
• Ability to be flexible and creative in organizing office workflow.
• Ability to use good judgment in solving problems.
• Ability to maintain program ledgers and monitor accounts of expenditures.
• Ability to meet deadlines and prioritize assigned tasks.
• Ability to work a flexible schedule prior to and during the six-week summer session.
• Must have a strong work ethic and lead by example.
• Must be a professional, credible and respected representative of the institution internally and in the community
• Demonstrated willingness and ability to act ethically and socially responsible
• Must be able to lift more than 20-lb. objects; frequent bending, stooping, and walking.
• Can be exposed to a variety of weather conditions for periods of time.
• Ability to communicate in a courteous manner
• Other duties as assigned by Director of Upward Bound or designee.

Qualifications:

EDUCATION, TRAINING AND EXPERIENCE:
• High school graduate or equivalent.
• A background check will be required of the successful applicant.

QUALIFICATIONS PREFERRED:
• Previous university experience.
• Two years of college.
• Working knowledge of MS Office.
• Previous bookkeeping experience.
• Familiarity with both the public-school system and university
